Booth Options

Every booth rental includes one (1) table and two (2) chairs, plus two (2) passes for booth staffing. Electricity and an additional table can be requested on the application at no extra charge.
Food Booth
For restaurants, caterers, and home-based food businesses serving cultural cuisine or specialty treats from a booth space.

Food Vendor Requirements
- Valid Louisiana Temporary Food Establishment Permit
- Food handler certification for all booth staff
- Proof of general liability insurance (min. $1M)
- Compliance with Calcasieu Parish Health Dept. guidelines
- Self-contained setup; no food prep in shared areas
Setup & Logistics
- Load-in: 6:00 AM – 9:00 AM on event day
- Vendor check-in required at the registration desk
- Booths must be fully set up by 9:30 AM
- Vendor parking available in designated lot (map provided)
- Breakdown: No earlier than 1 hour before event close
- Generators allowed; must be quiet-running (≤65 dB)
Electrical & Power
- Standard 20-amp single outlet at no extra charge — request it on the application
- High-draw equipment (fryers, AC units) requires 30-amp circuit — contact us
- Extension cords must be 12-gauge or heavier
- No daisy-chaining of power strips
General Conduct
- Vendors must remain in their designated booth footprint
- No amplified sound without prior written approval
- Displays must not obstruct neighboring booths or walkways
- Alcohol sales prohibited without separate permitting
- ICF SWLA reserves the right to remove vendors in violation

What time can vendors load in on event day?
Load-in begins at 6:00 AM on the morning of the festival. All booths must be fully set up and ready to open by 9:30 AM. Specific load-in zones and parking assignments will be shared with confirmed vendors in your setup packet, sent approximately two weeks before the event.
Where do vendors park during the event?
Dedicated vendor parking is available in a designated lot separate from the general attendee parking area. A detailed site map with vendor parking coordinates, load-in routes, and booth location numbers will be provided after your application is confirmed.
What payment methods can I accept at my booth?
Vendors are responsible for their own payment processing. Mobile POS systems (Square, Clover, Stripe) are popular among our vendors. We recommend having a cellular-connected reader as a backup, as Wi-Fi availability at the venue is not guaranteed for vendor use. Cash handling is also fully permitted.
Is electrical access available, and what are the options?
Yes. A standard 20-amp single outlet is included at no extra charge — just answer “Yes” to the electricity question on the application. Vendors with high-draw equipment (commercial fryers, blenders, refrigeration, or AC units) should contact us directly to arrange a 30-amp circuit. Quiet-running generators (≤65 dB) are also permitted as a supplement or alternative.
Do I need to bring my own tent or canopy?
Vendors are encouraged to bring their own 10′×10′ pop-up canopy or tent to cover their booth space. A limited number of tent rentals may be available on a first-come, first-served basis — contact us in advance to check availability and pricing. All canopy structures must be weighted or staked per venue safety requirements.
What happens in case of severe weather?
The International Culture Festival of SWLA is a primarily outdoor event hosted at the Lake Charles Event Center campus. In the event of severe weather, the festival organizing committee will communicate contingency plans to all confirmed vendors via email and phone no later than 48 hours before the event. A portion of the venue may be used as a covered fallback area. Refund and rescheduling policies are detailed in your vendor agreement.
I’m a home-based food vendor. Can I still apply?
Yes, home-based and cottage food vendors are welcome, provided you hold the appropriate Louisiana Cottage Food License and any required Calcasieu Parish permits for the product types you are selling. Please have your permit documentation ready when completing your Zeffy application. If you have questions about which permits apply to your business type, we recommend contacting the Louisiana Department of Health before applying.
Can I share a booth with another vendor?
Shared booths are allowed only if both vendors are registered under a single application and payment. Each distinct business operating from the booth must be disclosed at registration. If you are unsure whether your arrangement qualifies, email us before submitting your application so we can guide you through the correct process.
